Hello Neighbor,
If you are looking to do any exterior renovations or additions, please follow the instructions below:
- Some upgrades may qualify for an expedited ARC Application process if all documents required have been submitted. If you are uncertain if your proposed project requires an expedited ARC Application approval, you may send your questions regarding your proposed project to the email listed below.
- Fill out the ARC application for ARC review by printing the ARC Application and filling in with blue or black ink. Contact the Hawthorne ARC Committee prior to submitting your ARC application to confirm you have the required documents to eliminate delays in the ARC review and approval process. Each Project should have a separate ARC Application. Once completed, and you have assembled all project documents required, download and submit your ARC Application to the email listed below.
- Ensure that all names that appear on your deed, registered with Sussex County, appear on the ARC Application for Exterior Alteration in both printed & cursive forms & each signature is dated on Page 2.
- Provide an Insight Final Survey or Location Survey or DRB Site Plan copy, you received at closing, clearly marked with all desired changes, upgrades or additions for which you are requesting an ARC review & approval. Include all project work dimensions, changes to down spout or sump discharge locations, any added electrical, gas, or plumbing requirements, above or below ground connections.
- If any changes, upgrades or additions are being requested, it is the responsibility of the homeowner to ensure the appropriate permits are received from all required state and local agencies prior to starting any project.
- If the work is being performed by the homeowner or friend, you do not need to provide proof of insurance or contractor’s license. Please indicate on your application that you are performing work by yourself.
- If the work is being handled by a contractor: Please provide a copy of the Contractor’s License and a Certificate of Insurance which is up to date. In addition, please provide a copy of the Contractor’s Scope of Work detailing material, color and design. It is not necessary to provide cost of work.
- Any project installing any device or appliance connected to or using a utility (water, gas or electric) will require the homeowner/contractor to provide necessary licenses & certificate of Insurance for all sub-contractors. (Example: BBQ grill, Firepit, Hot Tub, Decorative Water Fountain, All Exterior Lighting.)
- All paperwork must be scanned and submitted as a PDF file, MS Word file or JPEG file. No photos.
- All Emails to the ARC must have the following information in the Subject Line of the Email: House #, Street Abbreviation, hyphen, Last name of deed holder, hyphen, one- or two-word project description. Example: 12345EMW-Smith-Patio; 54321LFW-Brown-DIY Deck. Street Abbreviations are as follows: Alcott Way-ALW; Bradbury Way-BRW; Dickinson Way-DSW; Emerson Way-EMW; Holmes Way-HLW; Longfellow Way-LFW; Melville Way-MVW; Thoreau Way-THW.
- This Subject Line Information will help ARC expedite and track your ARC Application & communications.
ARC Gmail will filter & prioritize applications that contain Subject requirements listed in #10. ARC will reply with an Application Status Update in 7 business days regarding completeness of your application. Once complete, your application will be sent to ARC members for review & questions prior to Approval.
